Ideal Candidate Profile
Educational Background: Minimum of a high school diploma; additional certifications in office administration or related field preferred.
Experience: Proven experience as an administrative assistant or in a similar role for a minimum of 2 years, Previous experience working remotely is an advantage.
Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel), Familiarity with project management tools and virtual collaboration platforms. (Teams, Zoom)
Communication Skills: Strong written and verbal communication skills, Ability to communicate effectively in a remote work environment.
Willingness to work fully onsite in Eastwood and BGC , Dayshift (AU Time).

Provide efficient and effective administrative support to the managers and the onshore team.
Manage and organise digital files, documents, and databases.
Handle scheduling, calendar management, and coordinate meetings and necessary documentation for annual general meetings
Respond to general owner, tenant, and contractor enquiries in a timely and professional manner.
Prepare and distribute correspondence, notices, and meeting documentation.
Assist with the coordination of repairs, maintenance, and contractor access.
Process invoices, raise quote requests and work orders, and assist with accounts administration.
Maintain accurate records, files, and registers for each Owners Corporation.
Upload and manage insurance Certificates of Currency and compliance documentation.
Support the preparation of agendas, minutes, and follow up actions for meetings.
